MSheet Process:
All existing and new clients working with Merit are welcome to use Msheet and there are no administrational charges.
Clients if required can still use traditional paper timesheets and some of our clients currently use third party timesheet software.
Upon a client requesting to use Msheet for authorising timesheets your Merit Account Manager will configure an individual and secure web portal for you.
If required your web portal can be split into department or cost centre as required with associated passwords and contact details amendable once clients have logged on.
Upon Msheet being configured around your requirements the system is ready to Go Live.
Creating a timesheet:
The first process when creating a timesheet is to populate Msheet with ‘Candidates Names’, ‘Basic Hours’, ‘Overtime Hours’ ‘Pay Rates’ and ‘Charge Rates’. This first stage can be completed by clients and/or your Merit Account Manager.
Editing and Saving Data:
Editing and saving data could not be easier with Msheet. Each entry is automatically saved when the file is closed and right up to the point of authorisation data is editable. This allows data to be updated daily so that when the authorisation date arrives much if not all of the required data has already been entered.
Authorisation:
To ensure security of data only the nominated client contract can authorise a completed timesheet. This responsibility can passed on to a deputy in the absences of the nominated client contact.
To help reduce errors Merit advise that before a timesheet or a bulk timesheet is authorised by a client the data is double checked for accuracy as once it has been authorised then payments are made to the relevant parties. Amendments can be made in the preceding payroll, however getting it right first time is always the best option.
Upon authorisation Msheet automatically exports the data in a CSV file to Merit’s payroll software.
Once data has been authorised then employees names are automatically copied into the following weeks Msheet in order to reduce data entry for our clients.
Overtime Rates:
Msheet has been designed to have a simple and user friendly system for allowing overtime rates and hours to be paid. This may be a higher rate of pay for weekend working, bank holiday, overtime or a general bonus payment.
Archive:
Once a timesheet is authorised a copy is automatically emailed to Merit’s in house payroll department, the clients email address and a copy delivered to the archive section of Msheet. The archive section of Msheet is available for viewing 24/7, 365 days per year. This allows clients to quickly access historical data from any location with an internet browser.
